TPWGC January 9, 2024 Board Meeting

President Sandy Wichelecki opened the meeting at 12:30 PM. A motion was MSP to approve the minutes of the November 7, 2023 Board meeting.
President Wichelecki welcomed Karen Bridges as the new VP/Tournament Director. She noted also that Gina Menicucci has replaced Kitty Masters as club Treasurer.
President Wichelecki reported that the Divot Program has been very well-attended and quite successful. Matty Reyes is planning to organize a monthly “divot party” and Sandy will pass on the details to the membership.
She also stated that, in all of 2023, only one member has been sanctioned for excessive no shows for tee times.
The next volunteer opportunity is the Undertow event (2/5/24), benefiting SDParks and Rec. A number of members have signed up to help and Michelle Natalier is coordinating. The club has made a $1000 donation in support. Several of the Board members will attend the Reception.
Reports
Treasurer:
Treasurer Gina Menicucci reported a cash balance of $12,069 as of 12/31/2023. She presented a preliminary 2024 budget, stating that because new members join throughout the year, the budgets will likely fluctuate.
There was some discussion about other expense cuts that might be made. Plans were made to phase out our PO Box and a motion was MSP to make only one charitable donation for 2024.
VP/Tournament:
Director Karen Bridges is getting up to speed on tournament procedures and budgeting. She presented a schedule for 2024.
Membership:
Director Cindi Velasquez reported a membership of 274 to date; 39 members did not renew. As members may join and renew anytime, she plans to do monthly review/updates and coordinate with Laura for the GG roster update and Gina who has oversight of the sweeps accounting.
Sweeps:
In the absence of Director Linda Holmgren, President Wichelecki clarified a policy that those members earning “preferred tee times” from divot duty must use them for regular sweeps play days only and only for themselves. A motion was MSP to stipulate that the time frame for use is one year from when the member performed the divot duty.
Sweeps Results: No report
Handicap:
Director, Michi Nakamura attend a seminar on the updating of the World Handicap System. She explained that due to how Golf Genius will calculate scoring for playing less than 18 holes, on sweeps days scores must be posted hole by hole. Holes not played should be left blank; holes started but not completed should be given the maximum or most likely score preceded by an “x”.
Sweeps Accountant:
Gina Menicucci reported plans to update the sweeps accounts balances on the website. She will do this quarterly. She will notify non-renewing members to spend their balances within 3 months.
Rules:
President Wichelecki stated that there are members who do not know the proper relief procedures from the hazard when playing hole #12 (North). She asked that if board members have an opportunity to educate, please do so.
Website:
Laura Borja, Director, addressed the recent spate of spam emails and clarified how users of the club emails can identify them and avoid breaches. She cautioned that when sending a membership e-blast, the member roster master list should be used.
New Business:
• The Undertow Tournament is scheduled for Monday, 2/5/2024. Saturday evening 2/3/2024 is the reception.
• The 9 hole club has made a request to use Golf Genius under our club. This was determined to be not possible. Sandy will inform them.
• Sandy will send out a new marshaling schedule for sign ups.
President Wichelecki adjourned the meeting at 1:54 pm.
